1) Who We Are and What This Policy Covers
This Privacy Policy explains how we collect, use, and protect information when you visit or use FAXVIN.com (the "Site") and related services we provide through the Site, including VIN and vehicle-history lookups and reports (the "Services").
Operator. The Site and Services are operated by FAXVIN ("FAXVIN," "we," "us," "our"). Our contact details are listed in the "Contact Us (Privacy)" section below.
What we do (and do not do).
- We provide vehicle-focused information (e.g., details linked to a VIN, plate, title/brand events, odometer records, theft records, and similar vehicle-history fields).
- We are not a people-search service, and we do not publish "profiles" about individuals.
- We do not claim to be a government agency or an official DMV service.
- We are committed to complying with the U.S. Driver’s Privacy Protection Act (DPPA). Our Services are designed to avoid collecting or disclosing personal information from motor vehicle records (such as a driver/owner’s name, address, driver license number, or similar identifiers) except as permitted by applicable law.
What this Policy covers. This Policy covers Personal Information we collect from:
- visitors who browse the Site;
- users who submit VIN/plate queries;
- customers who purchase digital reports; and
- users who contact support.
This Policy does not cover third-party websites, apps, or services you may access through links on our Site, or how those third parties handle information.
2) Key Definitions
- "Personal Information": information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked (directly or indirectly) with you as a user or customer (for example: your name, email address, account identifiers, IP address, device identifiers, and order/transaction metadata).
- "Vehicle Information": information about a vehicle or its history that is typically linked to a VIN and may also be linked to a license plate number and jurisdiction (for example: vehicle specifications, title/brand events, odometer records, theft records, accident/repair indicators, and similar vehicle-history fields). Vehicle Information is about vehicles and is not intended to identify a natural person.
- "Owner/Driver Personal Information": personal data about a vehicle owner or driver (for example: name, address, phone number, driver license number, Social Security number). We do not provide this type of information in our reports and we do not operate a "find the owner" service.
- "Report(s)": digital vehicle-history content we generate and deliver through the Site for a specific VIN (and, where applicable, plate/jurisdiction) based on available data sources at the time the Report is generated.
- "Service Providers": vendors that process Personal Information on our behalf to help operate the Services (for example: hosting, payment processing, fraud prevention, analytics, customer support tools).
- "Cookies": small files and similar technologies (such as pixels or SDKs) used for essential site functionality, preferences, security, and (where enabled) analytics or advertising.
3) Information We Collect
We collect (A) information you provide to us, (B) limited information from payment processing, and (C) information collected automatically when you use the Site.
3.1 Information You Provide
- Lookup inputs. The VIN and/or license plate number you enter (and the related jurisdiction/state, where applicable), plus any other fields you submit to run a lookup.
- Account information (if you have an account, including one created after purchase). Email address and authentication credentials (stored as a secure hash), plus optional settings you choose to save.
- Support communications. Information you include when you contact us (such as name, email address, message content, and any attachments you choose to send).
- Order details. Records of purchases and access to digital reports (such as order ID, product/plan, timestamps, receipts/invoices, and customer support history).
We do not collect your address book or contacts.
3.2 Payment Information
Payments are handled by third-party payment processors. We do not receive or store full payment card numbers.
- We may receive limited payment metadata from the processor (for example: transaction status, payment method type, tokenized identifiers, and limited billing details such as country or ZIP/postal code if provided).
3.3 Information We Collect Automatically
- Device and usage data. IP address, browser type, device identifiers, operating system, pages viewed, referring/exit pages, timestamps, and interactions with the Site.
- Security and anti-fraud signals. Data used to protect the Services and prevent abuse (for example: rate-limiting signals, suspected bot activity, and integrity checks).
- Approximate location. We may infer a general location (such as country/region) from IP address for fraud prevention, localization, and analytics.
3.4 Cookies and Similar Technologies
We use cookies and similar technologies for site functionality, security, and preferences, and (where enabled) for analytics. Cookie controls are described in Section 8 (Your Privacy Choices).
4) How We Use Information
We use Personal Information for the following purposes:
- Provide the Services. Process VIN/plate queries, generate and deliver Reports, and operate the Site and any account/checkout features.
- Payments and customer care. Process transactions, provide receipts and service messages, respond to support requests, and handle disputes.
- Security and fraud prevention. Protect accounts, prevent abuse (including automated scraping), detect suspicious activity, and enforce our Terms.
- Service improvement. Understand how the Site is used, troubleshoot issues, and improve performance and user experience.
- Legal and compliance. Comply with applicable law, respond to lawful requests, and protect our rights and the safety of users.
We do not use your Personal Information to build or sell consumer "profiles" about individuals. We also do not use VIN/plate lookups to identify a vehicle’s owner or driver.
5) Legal Bases
Where privacy laws require a legal basis (for example, in the UK/EU), we rely on:
- Contract (to provide the Services you request, including paid Reports).
- Legitimate interests (to operate our business, keep the Services secure, prevent fraud/abuse, and improve the Site).
- Consent (for non-essential cookies or similar tracking where required; you can withdraw consent by changing your cookie settings).
- Legal obligations (to comply with applicable laws, regulations, and lawful requests).
6) How We Share Information
We share Personal Information only as needed to operate the Services, and not for third parties to market their own products to you.
6.1 Service Providers
We may share Personal Information with Service Providers that help us run the Site and Services, such as:
- hosting, infrastructure, and security providers;
- payment processing and fraud/chargeback prevention;
- customer support and email delivery for transactional messages;
- analytics providers.
Service Providers are permitted to use Personal Information only to perform services for us and consistent with our instructions.
6.2 Legal, Safety, and Compliance
We may disclose information to comply with law, respond to valid legal process, protect our users, investigate fraud or security issues, or enforce our Terms.
6.3 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to applicable law.
6.4 Aggregated / De-identified Information
We may share information that has been aggregated or de-identified so it cannot reasonably be used to identify you.
No sale of Personal Information. We do not sell or rent your Personal Information. We also do not share Personal Information for cross-context behavioral advertising (for example, retargeting).
7) What We Do Not Do
To avoid confusion about our role and the type of data we handle:
- We do not provide a people-search service and we do not publish profiles about individuals.
- We do not provide a vehicle owner’s or driver’s personal information (such as name, address, phone number, driver license number, or SSN).
- We do not claim to be an official DMV, government agency, or law-enforcement service.
8) Your Privacy Choices
8.1 Cookie Controls
You can control cookies through your browser settings. Where we provide a cookie banner or "Cookie Settings" link, you can use it to accept or reject non-essential cookies.
8.2 Global Privacy Control (GPC)
We do not engage in cross-context behavioral advertising or retargeting. If we ever do in the future, we will treat an applicable Global Privacy Control signal as a request to opt out of "sale"/"share" for that purpose.
8.3 Emails and Service Messages
We may send transactional or service-related emails (for example, receipts, report links, account/security messages, and support replies). If we ever offer promotional emails, you will be able to opt out using the unsubscribe link in those messages.
8.4 U.S. State Privacy Rights
Depending on where you live, you may have rights to:
- Know/Access: request the categories and specific pieces of Personal Information we collected about you;
- Delete: request deletion of Personal Information (subject to legal and security exceptions);
- Correct: request correction of inaccurate Personal Information;
- Opt out of "sale" or "share" of Personal Information (as those terms are defined by applicable law);
- Limit use/disclosure of sensitive personal information (where applicable).
California notice at collection (summary). We may collect the following categories of Personal Information: identifiers (e.g., email address, IP address), commercial information (e.g., purchases/receipts), internet or network activity (e.g., usage and device data), and approximate location derived from IP. We disclose these categories only to Service Providers for the purposes described in this Policy.
How to submit a request. Contact us using the details in the "Contact Us (Privacy)" section. We will ask for information to verify your request (and, if you have an account, we may verify via your account).
Authorized agents. California residents may use an authorized agent to submit requests. We may require proof of the agent’s authorization and verification of your identity.
Response timing. We generally respond within 45 days of receiving a verifiable request; where permitted, we may extend once (up to an additional 45 days) with notice.
Non-discrimination. We will not discriminate against you for exercising your privacy rights.
Important note. Our Services are designed to provide vehicle-focused information. We do not offer a "remove my listing" opt-out because we do not publish listings or profiles about individuals.
9) Data Retention
We keep Personal Information only as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, maintain records, resolve disputes, enforce our agreements, and comply with legal obligations.
Retention depends on the type of data:
- Orders/receipts and accounting records: kept as required by applicable law and standard accounting needs.
- Support communications: kept as needed to resolve issues and for quality/security purposes.
- Security logs: kept for a limited period to protect the Services and investigate abuse.
- Account data (if applicable): kept while your account is active and for a reasonable period after closure.
When we no longer need Personal Information, we delete or de-identify it, consistent with applicable law.
10) Security
We use reasonable administrative, technical, and physical safeguards designed to protect Personal Information (for example, encryption in transit, access controls, and monitoring). However, no system can be guaranteed 100% secure, and we cannot promise absolute security.
11) Children’s Privacy
The Services are not directed to children or minors. We do not knowingly collect Personal Information from children under 13.
If you create an account or purchase Reports, you must be the age of majority in your jurisdiction (or have permission from a parent or legal guardian, where permitted).
If you believe a child has provided us Personal Information, contact us and we will take appropriate steps to delete it.
12) International Users
We are based in the United Kingdom and the Services may be accessed from other countries. If you use the Services from outside the UK, your Personal Information may be processed in the UK, the United States, and other locations where we or our Service Providers operate.
Where required by law, we use appropriate safeguards for cross-border transfers (such as contractual protections). For users in Canada, we handle Personal Information in accordance with PIPEDA and applicable provincial privacy laws.
13) Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the effective date. If changes are material, we will provide additional notice as required by law (for example, by a prominent notice on the Site or by email for account holders).
